Real Estate Transaction Coordinator

The Azar Team is seeking a part-time Real Estate Administrative & Transaction Coordinator to manage listing documentation, MLS entries, and transaction processing for residential sales and lease properties. The role supports a Miami-based real estate team and requires direct experience with Florida contracts and MLS systems.

This position focuses on contract accuracy, compliance, and file management from listing through closing or lease execution.


Key responsibilities may include:

Listing management (for sale & lease):

  • Preparing and processing listing agreements
  • Ensuring required disclosures and addenda are completed
  • Entering and maintaining listings in the Florida MLS
  • Managing status updates (Active, Pending, Under Contract, Rented, Closed)
  • Uploading property photos, attachments, and marketing materials
  • Confirming compliance with MLS rules and brokerage standards

Contract & transaction coordination:

  • Preparing Florida Residential Purchase Agreements (FR/Bar or similar)
  • Drafting lease agreements, renewals, and addenda
  • Tracking contract timelines, contingencies, and deadlines
  • Coordinating escrow deposits and confirming receipt
  • Communicating with buyers, sellers, agents, lenders, and title companies
  • Preparing commission disbursement authorizations (CDAs)
  • Maintaining organized transaction files through closing

Leasing administration:

  • Drafting residential lease agreements
  • Coordinating tenant application documentation
  • Verifying ID, income documentation, and related materials
  • Monitoring lease expiration and renewal timelines

Administrative support:

  • Updating CRM systems and client records
  • Scheduling showings and appointments
  • Preparing documents in e-signature platforms such as Dotloop or Skyslope
  • Supporting compliance with Florida real estate regulations

Required background:

  • Direct experience with Florida Residential Purchase Agreements (FR/Bar or similar)
  • Experience preparing listing agreements for both sales and leases
  • Strong working knowledge of the Florida MLS system (required)
  • Familiarity with Florida contract timelines and contingencies
  • Excellent organizational and time-management skills
  • Strong written and verbal communication abilities
  • Ability to manage multiple active transactions simultaneously
  • Proficiency with Microsoft Office, Google Workspace, and transaction management platforms

Compensation:

  • $15–$24 per hour
  • Part-time position
