Ollie Offer is seeking a Real Estate Transaction Coordinator to manage investor transactions from contract through closing while supporting operational systems in a growing real estate investment company.
This role focuses on coordinating deals, maintaining timelines, and ensuring all transaction details are executed accurately. The position also includes supporting the development of internal workflows, systems, and processes as the company scales.
Key responsibilities may include:
Transaction Management

Managing real estate transactions from contract through closing

Coordinating with sellers, buyers, agents, lenders, and title companies

Tracking deadlines, contingencies, and closing timelines

Ensuring contracts, disclosures, and addenda are completed accurately

Ordering and coordinating inspections, reports, and required documentation
Operations & Systems Support

Documenting processes, SOPs, and workflows
-
Supporting the development of scalable operational systems
-
Identifying inefficiencies and recommending improvements
Investor & Listing Support
-
Preparing MLS listing inputs and property documentation
-
Maintaining compliance and organized transaction files
-
Assisting with contracts and document execution
Communication & Client Experience

Acting as a primary point of contact throughout transactions

Providing updates and resolving issues proactively
-
Maintaining professional communication with all parties
Administrative & CRM Management
-
Keeping CRM and transaction dashboards updated
-
Maintaining organized digital files and records
-
Preparing internal reports and transaction summaries
Required background:

1–3+ years of experience as a Transaction Coordinator, Title Processor, or similar role

Strong understanding of real estate transaction workflows and investor deal structures

Experience with assignments, wholesaling, novations, or similar transactions

Strong organizational skills and attention to detail

Ability to manage multiple transactions simultaneously

Proficiency with CRM systems and digital document platforms
Preferred experience:

Experience building SOPs and operational workflows

Familiarity with platforms such as Salesforce, Skyslope, or Dotloop

Experience in real estate investing environments

Knowledge of the Tampa Bay / Florida real estate market
Compensation:

$48,500 – $58,400 per year (estimated range)
